Position Title: Member Data & Systems Manager (Remote) Location: Remote (Washington State), with periodic all-staff in-person meetings Reports to: CEO Status: Full-time /Exempt Salary Range: $85,000–$105,000 per year base salary, plus benefits About Us At Washington Health Care Association (WHCA), we’re passionate about supporting nearly 700 assisted living and skilled nursing providers, delivering advocacy, education, regulatory support and resources to help them provide the best care for Washington’s vulnerable populations. About the Role The Member Data & Systems Manager is responsible for maintaining the integrity, usability, and strategic value of our membership and financial data systems. This role serves as the primary steward of our member data and supports key operational functions including billing, registrations, reporting, and system integration. The Customer Relationship Management (CRM) system that WHCA uses is re:members (Impexium). The position requires strong collaboration with WHCA staff and clear verbal and electronic communication with our members. This is an independent, remote position ideal for a seasoned professional who enjoys combining technical skill with relationship-building and problem-solving. Key Responsibilities Member Database & Data Management • Maintain accurate, up-to-date member records in the CRM and related systems • Manage ongoing data updates, audits, and reconciliations • Ensure multiple systems are updated with accurate contact information • Research and resolve discrepancies in ownership, licensing, and facility data • Develop and maintain database standards, categories, and documentation • Produce regular reports for leadership, board, and partners • Produce regular membership lists for staff to use for communication distributions • Train and support staff on data queries and how to access information in the member database Member Engagement & Outreach • Proactively contact providers to verify and update contact and facility information • Coordinate rotating outreach campaigns for data validation • Serve as a knowledgeable, professional point of contact for member data inquiries. Research • Conduct research related to membership changes and ownership transitions, to populate data fields that are no longer accurate Event Registration & Member Services Support • Set up and manage event registrations in the CRM • Support members with registration through the CRM, answer questions and troubleshoot issues. • Monitor and reconcile the CRM registration data to payments in coordination with the Director of Finance Financial & Billing Support (in coordination with Finance) • Develop queries and support staff in transferring CRM data as needed between systems (such as QuickBooks Online) • Support invoicing, renewals, and billing contact updates • Manage sales tax setup in the CRM and a related third party contract to ensure Washington State sales tax compliance • Reconcile bundled transactions purchased through the CRM as assigned Systems & Process Improvement • Support system updates and enhancements • Assist with database and accounting system integrations • Coordinate necessary integrations between AMS and LMS for registration and billing purposes • Help improve workflows related to member renewals, reporting, and data flow • Participate in and lead longer-term technology and automation initiatives Qualifications Required • 5+ years of experience in database administration, association management, CRM administration, or similar roles • Demonstrated experience working with membership systems and/or CRMs (re:members/Impexium preferred) • Strong data management, reconciliation, and reporting skills • Excellent written and verbal communication skills • Proven ability to work independently in a remote environment Preferred • Experience in nonprofit, healthcare, or trade association environments • Familiarity with event management systems • Familiarity with accounting systems • Experience with system integrations and process automation • Demonstrated strength and competence in customer service and support Key Competencies • High attention to detail and data integrity • Strong organizational and project management skills • Professional and approachable communication style • Problem-solving mindset • Ability to balance routine tasks with improvement initiatives • Discretion with sensitive financial and member information Why This Role Matters This position is central to our ability to serve members effectively, maintain financial stability, and make informed strategic decisions.
