Schedule: Monday - Friday, 7:00am to 3:30pm Pacific

This is a hands-on role responsible for contract billing, job cost support, certified payroll compliance, and timely reporting of all payroll taxes and workers’ compensation requirements. The ideal candidate
has strong construction industry accounting experience, thrives in a recurring, detail-driven environment, and understands the regulatory demands of both private and public works projects.
Responsibilities:
• Construction Accounting & Billing
• Manage monthly contract billing and progress invoicing, including retention, change orders, and project-based billing schedules
• Track and reconcile job costs to ensure accurate financial reporting and margin visibility
• Support month-end close, account reconciliations, and coordination with external CPA partners
• Vendor & Contractor Compliance
• Maintain contractor and vendor pre-qualification documentation, including:
• Certificates of Insurance (COIs)
• W-9 collection
• Lien waivers
• Project compliance tracking
• Payroll Administration (QuickBooks Payroll)
• Process weekly payroll through QuickBooks Payroll (Desktop/Enterprise), ensuring accurate job costing, deductions, and reporting
• Manage employee records, pay rates, garnishments, and benefit deductions as needed
• Prevailing Wage & Certified Payroll Reporting
• Prepare and submit certified payroll reports for prevailing wage and public works projects
• Ensure compliance with federal, state, and local labor requirements
• Workers’ Compensation & Tax Reporting
• Complete required workers’ comp reporting, payroll allocation, and audit support
• Ensure accurate and timely filing/payment of all payroll taxes, including:
• Quarterly 941 filings
• FUTA/SUTA reporting
• State/local payroll tax obligations
• Year-end W-2 processing
Qualifications, Skills, and Key Competencies:
Required
• 5+ years of experience in construction accounting (subcontractor experience strongly preferred)
• Proven experience managing in-house payroll for a mid-sized workforce
• Strong working knowledge of QuickBooks Payroll
• Experience with certified payroll and prevailing wage compliance
• Familiarity with workers’ compensation reporting and payroll tax filings
• High attention to detail and ability to manage multiple deadlines
Preferred
• Experience in specialty trades (windows, doors, glazing, framing, or similar subcontracting)
• Multi-state payroll or public-sector project exposure
• Construction ERP or advanced job costing system experience
• Aatrix, Avetta, Procore or other contract billing utilities (GC driven/required)
