Your Role
As a Property Coordination Assistant at Dashdot, you will be a pivotal member of our Property team, ensuring a seamless experience for clients throughout their property journey.
You will support Dashdot Property Specialists by facilitating communication and coordinating tasks between clients, agents, inspectors, lawyers, and other stakeholders. Your work will directly impact client satisfaction, transaction efficiency, and the growth of the business.
With strong critical thinking and problem-solving skills, you will proactively identify challenges and propose solutions. Your exceptional communication skills will allow you to simplify complex information and provide clear, actionable updates to both clients and team members.
Responsibilities
- Coordinate property transactions end-to-end, liaising with clients, agents, inspectors, lawyers, and conveyancers among others.
- Manage client onboarding, ensure CRM information is accurate, and provide clear, empathetic support.
- Schedule and track inspections, appointments, and meetings, ensuring all parties are aligned and informed.
- Prepare, send, and manage contracts, due diligence documents, and settlement packs.
- Maintain accurate records, track key dates, and monitor workflow progress using Airtable or equivalent systems.
- Oversee automated client communications and respond to inquiries promptly and professionally.
- Identify process improvements and implement solutions to enhance efficiency and client experience.

Skills and Qualifications
- Minimum 1 year of experience in administrative support, property, or real estate-related work
- Proven ability to coordinate multiple stakeholders effectively
- High attention to detail and strong organisational skills
- Excellent written and verbal English communication
- Confident liaising with agents, inspectors, lawyers, and clients
- Able to work autonomously in a fast-paced, remote environment
- Proactive mindset and solution-focused approach
- Reliable computer, strong internet, and quiet home workspace
- Familiarity with tools such as:
- - Airtable
- Corelogic (or equivalent property research platforms)
- Google Workspace (Docs, Sheets, Gmail)
- Slack
- HelloSign
