We're hiring a Client Operations Coordinator to be the first team member at a growing marketing and sales agency. We own the client's full revenue system, from paid ads to the sales team. You'll work directly with the founder, who also serves as COO of an 8-figure portfolio of companies spending millions in advertising across sales and marketing verticals. This is not an assistant role. You'll be in the middle of client delivery, sales operations, and business growth. You'll keep projects moving, reports sharp, and systems running—so leadership stays in strategy and sales, not execution. As the agency scales over the next 3–4 months, this position transitions to full-time with increased responsibilities, compensation, and performance-based bonuses tied to agency growth. What You'll Own Client Operations • Sit in on client meetings, capture action items, and drive follow-through to completion • Build and deliver client reports on a consistent cadence • Manage client scheduling, communication, and onboarding workflows • Track all active deliverables across clients—nothing slips Marketing Operations • Build and maintain automations and pipelines in GoHighLevel (or similar CRM) • Light web design—funnels, landing pages, and campaign assets in GHL • Compile and deliver sales team performance reports • Maintain KPI dashboards and Slack-based reporting Task & Project Management • Attend internal team meetings, run notes through AI tools, extract and prioritize tasks • Track leadership action items and hold the team accountable to deadlines • Prepare meeting briefs—pull relevant data, reports, and context ahead of key meetings Systems & Documentation • Document SOPs and playbooks as processes are built in real-time • Leverage AI tools for note-taking, reporting, and task management Recruiting Support • Source candidates, screen resumes, and schedule interviews • Manage the recruiting pipeline and coordinate onboarding for new hires In Your First 30 Days You'll… • Be fully onboarded into all active client accounts • Own the weekly sales team reporting cadence • Have documented your first 3–5 SOPs • Attend all client and internal team meetings independently • Have a working command of the full tool stack Who You Are • 2–4 years in marketing operations, client management, or agency ops • Hands-on CRM and marketing automation experience (GoHighLevel is a strong plus) • SMB or startup experience—you've worked where everyone wears multiple hats • Strong project management instincts—you track details others forget • Comfortable working autonomously in a fast-moving, remote environment • Available Monday–Friday, 9 AM–5 PM PST (20 hours/week within this window) • Bonus: info product, coaching, or marketing agency background Our Tool Stack: Slack, Asana, GoHighLevel, Claude, Manus, Fathom, Zoom This Role Is NOT For You If… • You need to be told what to do every day • You've only worked in large corporate environments and need rigid structure • You're uncomfortable with ambiguity and shifting priorities • You're not willing to be stretched and challenged How to Apply We don't just want a resume.
